The Health Connector seeks a highly organized Executive Assistant & Office Coordinator to provide high-level support to our Executive Director’s office, our workplace, and visitors to our office. This individual will provide vital administrative support to leaders and staff and enable high performance across our workplace and organization. The ideal candidate thrives in a supportive, dynamic, public-service-oriented environment and has a professional, positive, and “can-do” demeanor. This role requires excellent organizational, communication, and multitasking skills to manage executive schedules, coordinate office activities, support employees, and maintain an efficient and welcoming workplace environment.
Key Responsibilities
- Provide comprehensive administrative support to the agency’s Executive Director and leadership team, including calendar management, meeting coordination with internal staff and external stakeholders, daily schedule briefings, and logistical coordination of speaking engagements
- Coordinate logistics and preparations for agency events, staff meetings, and other organizational business events, which may involve compiling meeting materials and organizing agendas
- Manage confidential information with discretion and professionalism
- Correspond with and provide support to the Health Connector Board of Directors, serving as the point of contact for all scheduling and logistical matters
- Greet and facilitate the entrance of visitors arriving at the office, managing incoming/outgoing mail and shipments, and maintaining an organized office environment, serving in an in-office capacity at least 3 days/week
- Ensure smooth daily operations of the Health Connector’s “front office” and the success of the Health Connector as an organized, supportive, and well-running workplace
- Identify opportunities to improve front-office, scheduling, meeting, and administrative processes so the Executive Office and workplace operate more efficiently and consistently.
- Provide basic administrative support to the Human Resources department (e.g., assisting with scheduling of candidate interviews) and in onboarding and offboarding employees
- Serve as the point of contact with landlord, facilities vendors, and other administrative vendors
- Manage a multiline phone system and route incoming calls as needed
- Maintain office records, documents, and administrative systems
- Draft and edit professional emails, memos, and internal communications
- Order and oversee office supply inventory for the Health Connector’s office
- Process front office expense reports and monitor/coordinate credit card expenses, and arrange travel logistics when needed
- Other special projects and duties as assigned
Experience and Qualifications
- Minimum three or more years of experience providing high-level administrative support to C-level executives or senior management, or equivalent professional experience
- Ability to appropriately handle confidential/sensitive information and materials, anticipate and proactively plan for expected administrative needs, and consistently exercise sound judgement as a representative of a public organization
- Positive and professional communication style, with excellent verbal and written communication skills
- Strong attention to detail and problem-solving skills
- Experience coordinating office operations, vendors, and/or workplace programs
- Ability to work independently while collaborating effectively with a team
- Proficiency with Microsoft 365 tools, including Outlook, Teams, SharePoint, Word, Excel, PowerPoint, and shared document collaboration, with the ability to learn and use approved productivity tools appropriately. Exceptional time-management skills and attention to detail, with the ability to multitask effectively in a lean and dynamic environment
- Has the ability and feels comfortable working with diverse staff, visitors, and stakeholder groups

Salary
$85,00–100,000/year, depending on experience.

- All Health Connector employees are required to provide satisfactory proof of eligibility to work in the United States
- Most of the Health Connector is operating on a hybrid work arrangement with at least 2 days in the downtown Boston office and other days of the work week working from home – this position, however, requires in-person work at least 3 days a week (at least Tuesday, Wednesday, and Thursday)
- Employee may periodically be requested to work an extended day or on the weekend to meet a deadline.
